Awards Night O (Early June)

  • Coordinate volunteers (as needed) to help set up auditorium lobby and provide reception (light refreshments mostly donated by volunteers with remainder subsidized by the SHS PTA budget) for approximately 100 students receiving awards and their guests.
  • Work with Guidance secretary, Missy Ketley to organize event

Back-to-School Night O (Mid September)

  • Coordinate volunteers (list provided by 3rd VP: Volunteers) to provide refreshments for the evening.
  • Shop to supplement food/supplies as necessary.
  • Contact SHS Facilities for ice/tables/chairs requirements, via Karen Romano.
  • Set up and clean up on the night. The Chairs man the tables during the evening to re-stock refreshments for parents attending that BTS night.
  • Help monitor the SHS PTA Membership forms if Membership Chair is unable to attend.

Beautification Y

Book Fair (December and Spring)

Each spring, the English Department arranges a Book Fair to encourage Summer Reading for all SHS students. As of Spring 09 it is held at Barnes & Noble and NOT at SHS. The role of SHS PTA Book Fair Chairs is to provide assistance and volunteers to the SHS English Department.

  • Work closely with English Department rep, librarian and Barnes & Noble rep to decide on dates, objectives, beneficiary and execution.
  • Work closely with Barnes & Noble rep re in-store entertainment and sales totals
  • Coordinate volunteers, if needed, for all associated activities (i.e., marketing, publicity, communication, etc.)
  • Help recruit speakers/performers if necessary
  • Publicize event in newsletter, emails, papers, blogs

 

Bus Safety/Parking Y (not currently being filled)

  • Meet with town-wide committee and Sandy Evangilista (transportation coordinator) on bus safety issues.
  • Attend building committee meetings where bus and parking issues are being discussed.
  • Requires day and night meeting flexibility.

 

Class Reps Y

  • Work closely with class advisor (SHS staff member), assistant principal, and grade level assistant.
  • Attend class meetings, as invited.
  • Provide publicity for class activities & meetings to keep students and parents informed.
  • Fundraising support for projects chosen by students.
  • Occasional meetings with reps of other classes.
  • Work on Homecoming events, as needed

In addition to the above, Junior and Senior Class Reps will be involved with the respective class proms. Junior prom includes organizing volunteers for set up, clean up, selling tickets, soliciting raffle prizes, and donations from parents. Senior Prom includes ticket sales and organization.

 

Community Outreach (w/Friendship Wheels) Y

  • Attend the district-wide Community Outreach Representative meetings organized via PTA Council PYD/Community Outreach Chairs (about 3 per year) to discuss the best ways to encourage our SHS youth to help others.
  • Collect information as to what community outreach programs Staples students and SHS PTA are sponsoring, and discuss these initiatives at the district-wide Community Outreach Representative meetings.
  • Coordinate and run annual Back-To-School Night food drives for Westport Women's Club Food Pantry with 5th VP Member-at-Large, if needed.
  • Organize community outreach programs in coordination with the SHS and SHS PTA as needed and liaise with Department of Human Services on Friendship Wheels program (new program, Fall 08, to connect local students needing rides home after after-school activities with volunteer drivers).

 

Cultural Arts (Members of Westport PTA Council Cultural Arts Committee) Y
Cultural Arts, a subcommittee of the PTA Council, consists of representatives from all Westport public schools, K-12. Its mission is to expose Westport’s students to high quality, live performing arts, to encourage good audience skills and to develop an appreciation for and enjoyment of the arts. Cultural Arts accomplishes its goals primarily through the implementation of two programs: 1) on-site assemblies and workshops at each school, and 2) cultural enrichment, which provides grade-level funding for artists’ presentations that directly relate to curriculum.

  • Preview shows in other schools or venues to determine whether or not they would be appropriate for our schools
  • Host the artists who perform in our schools
  • Attend monthly CA meetings
  • Help teachers find appropriate enrichment programs
  • Update the appropriate school’s newsletter about upcoming CA performances
  • Help book shows into schools

Custodial & Maintenances Worker Appreciation Lunch O (June)

  • An all-day food service provided for Custodial and Maintenance staff on Graduation Day which is set-up in the Faculty Dining Room.
  • Volunteers provide baked good, drinks and donations. Chairs purchase sandwiches, etc to provide an on-going food service to allow for flexibility in the shift schedule for these staff members at work on Graduation Day.
  • Chairs must check in and re-stock food service throughout the day of Graduation

Directory Distribution O (September)
The Directory Distribution Chairs are responsible for the mailing and/or delivery of the SHS PTA Directory to the SHS PTA members.

  • Generate labels from database forwarded to you from PTA Membership chair.
  • Organize a bulk mailing party with volunteers supplied by 3rd VP: Volunteers to organize approximately 1,700 directories with labels.
  • Need to separate mailings by zip codes and weight of package (# of directories)
  • Take directories to bulk mailing office of the post office.
  • Continue to mail/handout directories to newcomers throughout year as you are notified of new members from the Membership Chair

 

Directory Production O (Summer through September)
The SHS PTA Directory Production Chairs are responsible for producing the SHS PTA Directory.

Microsoft Excel, Word and Publisher are the 3 programs used to generate the directory. You do not have to be familiar with all 3 programs.

  • Contact BMS and CMS for an electronic copy of their 8th grade directory listings before school dismisses for the summer.
  • Merge the BMS, CMS and SHS excel student lists cleaning up and editing.
  • Provide Directory form to SHS PTA Co-Presidents and Summer Mailing Chairs for inclusion in Summer Mailing
  • Give extra directory forms to school office for those students who come in during the summer.
  • Verify with AlphaGraphics (used in ’08 and ’09) per directory price and timing.
  • Work collaboratively with SHS PTA Co-Presidents to design cover for directory. Get Principal’s approval. Submit cover to AlphaGraphics for printing as soon as available. 09-10 Directory Cover designed by Graphics Student.
  • Obtain staff directory and class listing by year from Ken Wood or Meryl Selverstein; the PTA board listing from the PTA President; and the Norwalk Transit info directly from them (due to space, not in for last 2 years, instead provided a telephone contact and website information). Submit copy of directory to AlphaGraphics to generate proof copies.
  • Receive, alphabetize and get clarification on all returned forms.
  • Update spreadsheet with changes.
  • Once spreadsheet is final, export to Word and then to Publisher. Update other pages in Publisher. Final changes in Publisher also need to be reflected in the spreadsheet to ensure a good base for next year.
  • Arrange group to proof directory and make any necessary changes.
  • Submit final copy to AlphaGraphics for printing.
  • AlphaGraphics to invoice SHS PTA, they request a check before delivering the printed copies to SHS
  • Provide corrections/additions to FTW as needed for publication.

End-of-Year PTA Lunch O (May/June)

  • Coordinate end of the year SHS PTA potluck luncheon for the old and new SHS PTA board by arranging for various types of food and desserts to be brought by current SHS PTA board members. Event held at either chair’s home or another board member’s home.
  • Send out invitations to all SHS PTA members and SHS Administration via e-mail.
  • Set-up and cleanup.

 

Food Service Advisory Committee Reps (Members of Westport PTA Council Food Service Advisory Comm): Y

  • Responsible for meeting with district-wide Westport PTA Council Food Service Advisory Committee regarding menus, food guidelines, etc.
  • Meet with student representatives and SHS Food Service staff to discuss and consider recommendations.
  • Provide feedback that food served is healthy and interesting.

 

Graduation Day Ceremony O (Graduation Day)

  • Coordinate Graduation ceremony with SHS contact, Karen Romano and through 4th VPs: Graduation
  • Email Karen Romano, secretary to Principal, after the New Year. Make sure that she includes you in any meetings regarding Graduation. The first meeting is usually in mid March.
  • Work closely with Karen Romano and VPs regarding the ordering of any necessary items (i.e., flowers, decorations, etc.)
  • Chairs collaborate with the chairs for other Graduation Day committees so that savings can be realized.

Graduation Event Mailing (GEMS) Y

  • Solicit Westport community for monetary donations to assist Town of Westport and the SHS PTA in providing Senior class with drug and alcohol-free celebrations at the times when teens are most vulnerable to risky behavior.
  • 3 groups are identified as donors: local businesses, parents of senior class and the other local PTA’s.
  • Facilitate fundraising mailing to Westport PTA Presidents in October, Westport businesses in January, with follow-up to senior class parents in March.
  • Keep spreadsheet/database organized for next year’s chairs of businesses and contacts who have donated and write thank you notes to businesses and PTAs who donate.
  • This committee is responsible for raising around $10,000 for the two events, Post-Prom and Post-Grad celebrations.

 

Homecoming Sponsorships for STG O (August through October)

  • New in Fall ’09, the letter was mailed to the entire SHS parent community
  • Coordinate letter with SHS PTA Co-Presidents
  • Manage database for mailing

Library Media Center (LMC) Volunteers Coordinator Y

  • Get volunteer names and contact info from 3rd VP: Volunteers and then meet with librarians to schedule training sessions.
  • Contact all volunteers to request preferred volunteer times to develop LMC volunteer schedule.
  • Advise volunteers of training sessions and get RSVPs.
  • Attend and assist both sessions and draft and finalize a volunteer schedule based on parent’s requested time slots.
  • Confirm with librarians to determine that volunteers are fulfilling commitments; schedule more volunteers as needed for special projects or events as laid out by librarians.
  • Receive feedback from library volunteers on ways to improve volunteer function.
  • Coordinate with librarians on possible speakers for the LMC and help arrange speaker appearances.

 

Membership Y (May, August, early September)
The SHS PTA Membership Chair is responsible for recording PTA membership information into a Membership database (Excel spreadsheet). You will need to create and continually update a spreadsheet containing all families who join the PTA for the academic year, and keep track of SHS staff who choose to be SHS PTA members, thereby maintaining a database of all staff and parent members of the SHS PTA. This database is maintained throughout the year as new people move into town, etc. The spreadsheet format already exists and is easy to copy and start new each year.

Must be comfortable with data entry.

  • In May, update PTA membership form for inclusion in Summer Mailing. Review with Co-Presidents.
  • The completed forms (1,000- 1,200) are mailed back directly to the PTA Membership Chair's home starting at the beginning of August so that the data can be managed in one place. Forms will continue to arrive in bulk until mid-September and then will trickle down for another month or more.
  • All monies received are given to the Treasurer, usually by hand with a detailed accounting of how the funds break down (dues, extra directories, Angel donations).
  • Send completed excel spreadsheet to Directory Distribution chair in time for them to create labels of SHS PTA members for Directory mailing.
  • Continue to maintain database throughout year. Contact Directory Distribution people with names and addresses of new members so they can mail out directories as needed.
  • Attend to Back-to-School nights (as available) to solicit parent memberships at the BTS reception in cafeteria.

Music Appreciation Coordinator Y

  • Coordinates flowers for staff for the following six performances: SHS 9/10 Fall Concert (December), Candlelight Concert (December), Fine Arts Night (Jan or Feb), 2 Spring Concerts (May) and Orphenian concert (June).

 

Newcomers O (September)
Host a coffee at beginning of school year (2 or 3 weeks after school has begun) to welcome parents new to Westport (any grade at SHS).

  • Contact Guidance secretary Fran Geraci to introduce yourself and make sure she has your contact information (including e-mail). She will begin to send you lists of newcomers in mid-August and again after start of school.
  • Set date for coffee with SHS PTA Co-Presidents (who will check Principal’s schedule)
  • Contact all newcomers in early September and invite to coffee with Principal and SHS PTA Executive Board
  • Event is typically held at the home of the Newcomers Chair. Make other arrangements as necessary
  • Provide informational handouts to help newcomers with assimilation at high school (i.e., relevant student handbook information, calendar dates, summer mailing packets, teachers phone numbers, etc. depending on availability of directory, volunteer form, membership forms) These forms are provided by Co-Presidents.
  • Make sure they are receiving SHS PTA emails by collecting e-mails at event
  • Work with Fran Geraci, guidance secretary throughout the year as new families come to Staples.
  • Contact new families and provide newcomer coffee handouts to them as needed throughout the year.
  • New in 09-10…offer to have a second Coffee in March for those who arrived at the second semester

 

New Faculty Welcome O (early September)
New for Sept 09. Plans are in process for an afternoon event at the school for parents and teachers. Please contact Co-Presidents for more details.

 

Newsletter Distribution Y
Mail out FTW to parents who have requested a hard copy, which is fewer than 75 per month.

  • Coordinate database based on last year, first contacting all the people listed (except where noted by Co-Presidents) to see if they wish to remain on hard copy mailing list.
  • Each month receive a FTW via e-mail designed specifically for hard copy use and print out, coordinate copies and mail.

 

Newsletter Layout/Design Y

  • Responsible for layout and design of the SHS PTA newsletter For the Wreckord.
  • Obtain list of article submission deadline dates, printing dates and mailing dates from 2nd VP Communications.
  • Monthly, 2nd VP Communications will send you the articles and calendar via e-mail.
  • Compile information into newsletter format.
  • Send draft to VP Communications and Presidents to proofread.
  • Make corrections as necessary.
  • Present final copy to VP Communication for e-mailing
  • Send FTW designed specifically for hard copy mailing to Newsletter Distribution Chairs

 

Nominating Y
Responsible for forming committee, running meetings and overseeing committee members reaching out to possible candidates via e-mail and phone.

  • Responsible for following by-laws and PTA Council guidelines regarding board eligibility and composition
  • Present nominating committee at January SHS PTA Coffee with Principal.
  • Work with Past President and committee to finalize nominations.
  • Forward Executive Board slate to FTW for publication in May issue.
  • Present slate for upcoming year (Executive and General Board) at May SHS PTA Coffee with Principal
  • Forward slate after vote to FTW for publication in June.
  • Members of the Nominating Committee may only serve for two years. The ideal situation is to have at least one of the chairs be a member of the Committee from the previous year.

 

Non-Event Fundraiser (PENS) O (Fall)

  • SHS PTA Co-Presidents obtain information on school needs from Principal.
  • Decide on a fundraising focus with SHS PTA Executive Board for non-event fundraising letter to solicit funds from parent body.
  • Work closely with 1st VP Ways and Means for creating, printing and mailing of letter, as well as collection of funds and thank-you notes. (Review final letters with SHS PTA Co-Presidents.)

 

Open Choice Liaison Y
Open Choice is a state mandated program to improve the equity of education in the state. There is currently an Open Choice Coordinator position for the school system, Julie Horowitz, based at SHS.

  • Work closely with Open Choice Coordinator to make the experience/transition of the SHS Open Choice students as positive as possible
  • Seek volunteers to act as a Mentor to parent/guardian of each "Open Choice" student.
  • Act as a contact person for Mentors, Open Choice families, and Open Choice Coordinator
  • Periodically follow up with Mentors as activities/events arise throughout the year (ie. holiday concerts, school activities)
  • In the past, this has included organizing a dinner for SHS Open Choice students and their parents, working on upgrading home computer capability of the students through a one-time grant from the SHS PTA, assisting on the issue of after-school transportation, etc.
  • Secure clean database from Julie Horowitz each June for the next school year for the Co-Presidents to share with other Chairs (Newsletter Distribution, Summer Mailing, Membership) who need to reach out to Open Choice families.

 

Parliamentarian Y

  • Interpret by-laws and rule on questions of parliamentary procedure. Shall be appointed by the SHS PTA Co-Presidents. Review by-laws and suggest any amendments that are deemed necessary. Preside as chair over any committee appointed to prepare a new set of by-laws.

Permanent Art Collection Y
This job is filled via WSPAC Committee. Chairs often continue from school to school although interested volunteers are always welcome. The WSPAC Committee is made up of volunteers dedicated to maintaining and securing the rich artistic legacy of Westport plus 2 PTA reps from each school.

The Staples reps are responsible for:

  • Curating all the WSPAC art on view at Staples. This means deciding what works of art should go where; working with other committee members and SHS administration to hang the work; making sure that the work is properly displayed, with the appropriate labels, and that its new location is registered in the WSPAC data base. This year we hung the giant Marlene Siff painting in the 2nd floor atrium, as well as a photography display in the English wing, a Works on Paper display in the music hall, and several other pieces around the school.
  • WSPAC reps develop a knowledge of the art and artists, and occasionally act as docents for tours for students, teachers and outside visitors. Sometimes they respond to specific requests for artwork from teachers or administrators.
  • WSPAC reps are also involved in general committee work, such as archiving the work, acquisitions, repair and maintenance. The committee meets once a month, usually the last Friday of each month, with meetings hosted by various committee members, or at locations such as the Westport Historical Society.
  • WSPAC receives funding from the Town of Westport, the PTAs, grants, and private sources. Each PTA donates $200 to WSPAC. Any individual expenses incurred by reps from hanging the art work are reimbursed by WSPAC, not SHS PTA.
  • Attendance at PTA Council workshop (annually)

Picture Day O (September)

  • Contact Jim Farnen (Assistant Principal in charge of picture day) and/or Joanna Seiter in AP’s office to find out when and where Picture Day will take place
  • Obtain volunteer lists from 3rd VP Volunteers before school starts to arrange for volunteers. Chair commitment is two full school days; volunteer shifts are 2 ½ hours each. This is a simple job for the beginning week of school. Volunteers check that the kids have filled their order forms out correctly and that the photographers have the electronic form generated by the school with the correct contact information.

 

Positive Youth Development (PYD) Reps Y
The Positive Youth Development Initiative is a collaboration of the Westport Public Schools, Westport Department of Human Services, Westport PTA Council, United Way of Westport/Weston and Positive Directions (formerly the Alcoholism and Drug Dependency Council). Begun several years ago, the initiative is a Family-School-Community partnership that develops and supports programs for parents and youth. The goal is to encourage youth to develop in positive ways; reinforce connections to family, school, and community; and help to avoid risky behaviors. The Positive Youth Development (PYD) School Rep is the liaison between the parents in their school and the PYD initiative in town.

  • Attendance at Westport PTA Council PYD meetings representing their school. Summarize meetings and have handouts and info available for website and FTW.
  • Interface with school psychologists, school guidance counselors to identify emerging issues within their schools:
  • At the beginning of the school year, reps should introduce themselves to the psychologists
  • At this time, the rep should explain PYD and their hope of working with the school staff on issues of concern to parents and students
  • With school psychologists, assist in scheduling and PR for school psychologist/parent workshops
  • Bring these issues to the Westport PTA Council meetings and help brainstorm next steps
  • Communicate back to school community the issues and programs being discussed. PR is a very important component of this job
  • Be knowledgeable of other PYD programs in Westport
  • Work on broader, community programs sponsored by PYD

 

Post-Graduation Celebration O (Graduation Night)
This event takes place on the night of Graduation at Longshore.

  • Joint event with Town of Westport Parks & Rec. The goal of this party is to provide a well-attended and fun-filled event on the night of Graduation that is alcohol and drug free at a time in the evening that does not interfere with family events after Graduation.
  • Collaborates with Post-Prom committee on purchasing, favors and funds.
  • Works with Senior Class committee to get input and opinion.
  • Assists Graduation Events Mailing Chairs if they need assistance with fundraising mailing.
  • SHS PTA and Graduation Events Mailing fundraising pays for DJ, food, chaperones, decorations and
    entertainment.
  • Solicit parent community and local businesses for raffle prizes.
  • Secure & arrange payment for police for the evening.
  • Check-in attendees and monitor submitted waivers database for liability coverage on the night.

 

Post-Prom Celebration O (May/June)
This event takes place immediately following the Senior Prom (approximately 12-3 am) at Compo Beach Pavilion with bonfire, marshmallow roast, music, food, favors.

  • The Post-Prom event is co-sponsored with Town of Westport Parks & Rec.
  • Consults with Senior Class Advisor & Senior Class Committee to anticipate any opportunities to collaborate for savings and insure that no redundancies exist in the Prom/Post Prom. (See report for timing)
  • Assists Graduation Events Mailing Chairs if they need assistance with fundraising mailing.
  • Collaborates with Post-Graduation Celebration committee where savings can be realized on party favors, tent rentals, invitations, decorations, etc. Any leftover food/snacks go to Post Graduation Celebration.
  • Contact Joey’s By the Sea who provides food at cost.
  • Committee arranges for music, food, and favors.
  • Publicize event using available resources as listed in report.
  • Organize volunteers (list provided by 3rd VP Volunteers) for various jobs.
  • Help coordinate waivers and check-in attendees and monitor submitted waivers database for liability coverage on the night.

 

Publicity Y
Responsible for publicity for SHS PTA-sponsored events over the course of the year

  • Responsibilities include determining best medium for publicizing events and contacting local newspapers and on-line sources and submitting photos and write-ups (after approval from SHS PTA Co-Presidents and Principal.
  • The publicity chair will work with co-presidents and committee chairs to determine timing and best mechanism for publicizing event.

 

Reflections Program Y
Act as liaison between CT PTA and SHS regarding all aspects of this CT PTA contest.

  • Work closely with relevant departments to solicit entries in timely and complete manner for both theme contest as well as named contest.
  • Submit articles to FTW and weekly reminder e–mails to publicize program
  • Recruit judges and set up forum for displaying and judging entries.
  • Follow correct processes and submit winners for all levels of competition.
  • Working with Publicity person, properly publicize entrants/winners in town publications

Senior Grad Rehearsal Lunch O (Day before Graduation Day)

  • Determine date with SHS PTA Co-Presidents and Karen Romano. Usually the first Thursday in December.
  • Coordinate a Holiday brunch/lunch for the entire staff. A list of volunteers for the event is provided by the 3rd VP Volunteers. These volunteers are contacted and it is arranged for them to donate food, drinks or time to staff for the event.
  • Write FTW article to announce event and solicit additional volunteers for food or monetary donations.
  • Write weekly e-mail reminders for more volunteers as needed.
  • Collect and monitor monetary donations.
  • Update 3rd VP Volunteers and Co-Presidents on status of donations.
  • Includes set up and clean up and providing servers for day of event.

Summer Mailing O (Early May through July)
For 08/09 the SHS PTA Summer Mailing went “green”. It now consists of a 4 page hard copy mailing which goes to all families and includes details on how to access all the other forms which used to be mailed via downloads on the SHS PTA website. Full packet hard copy mailings are still sent to those families who are determined to require a hard copy format.

  • Meet with SHS PTA Co-Presidents in early May to review last year’s forms and to decide who will be updating each form and to make a timeline.
  • Coordinate with SHS PTA Co-Presidents on receiving hardcopy and download forms in May for the summer mailing.
  • In June, check with SHS secretary, Meryl Selverstein or Ken Wood, and SHS PTA Co-Presidents to determine student enrollment for the following year.
  • Purchase envelopes from Staples Office Supply Store 1 per family.
  • Stamp (if not pre-printed, check report) with Staples High School return address and bulk mail permit #.
  • Get labels (1 per family but make sure you get 2 household families too) from either Meryl Selverstein or Ken Wood.
  • Have SHS PTA Co-presidents e-mail SHS PTA board chairs that need to provide info.
  • SHS PTA Co-Presidents will coordinate with principal on getting help in SHS office with copying or at least access to copier.
  • Determine with SHS PTA Co-Presidents what goes on-line and what goes in hard copy format.
  • Maintain list of families requiring full packets in hard copy format (no reliance on e-mail or on-line forms, all hard copy)
  • Facilitate mailing, collate and insert all letters and announcements into the manila envelopes. Bring envelopes to the bulk mail office at the main Westport Post Office (Post Road).
  • Submit receipts to the PTA treasurer.

 

Sunshine Y

  • Extend a helping hand, offer condolences, and send cards or flowers deemed appropriate to the situation for SHS families and staff members.
  • Coordinate food donations from volunteer lists to SHS families and SHS staff in need because of illness, death or special circumstances.

 

`Tis the Season/Holiday Giving Program O (November/December)

  • Work with the Westport Department of Human Services on the town-wide Giving Program for the needy families of Westport.
  • This will include attending a start-up meeting in early September, putting timely and catchy notices in For the Wreckord and the weekly e-mails. The Department of Human Services gives much direction.
  • Provide DHS with a list of SHS families willing to purchase gifts or “sponsor” a family in need and collect donated gift cards or monetary donations.

 

Tools for Schools Y
The job consists of working on a team of parents, faculty, and school maintenance & facilities professionals, to ensure that Indoor Air Quality (IAQ) standards are being adhered to.

  • This is achieved through visual inspections conducted during team walk-throughs of the entire school building. The team also follows up on staff-generated TFS requests to address problems they have experienced which could be related to IAQ.
  • Inspections can include checking HVAC supplies and returns, heating (as in are the radiators working, are they covered by boxes, etc), checking room environments (cleanliness, rubbish, signs of vermin or smells), looking for outward signs of water damage or mildew, checking that drains are being maintained properly.
  • The complaints, the inspections, and the follow up are documented in one notebook that the TFS committee keeps. It provides a framework for schools to keep track of and be proactive about IAQ.

Wrecker Wear Sales Y

  • To coordinate the Wrecker Wear items to be sold on-line via ASF. Work with Chris at ASF to select items, produce sheet to be available on-line via summer mailing directing parent and student population to ASF website to complete orders. As of 08/09 there will be no mail-in orders, only on-line ordering via ASF website. 2 solicitations for sales will be held, one in the summer mailing, the next pre-holidays.

 

SHS PTA EXECUTIVE BOARD RESPONSIBILITIES

  • All Executive Board members assist Co-Presidents by attending monthly Executive Board meetings to discuss issues and offer support and work cohesively for the SHS PTA.

  • All Executive Board members that have Chairs reporting to them are responsible for assuring timely planning, promotion, execution and follow-up of all activities under their supervision. In addition, VPs should give monthly progress reports on past, present and future activities to Executive Board at monthly meeting.

  • All Executive Board members that have Chairs reporting to them must make sure that their Chairs write a report within one month of the end of their responsibility and e-mail the report to the VP Volunteers.

  • Executive Board members attend Board of Education, Board of Finance, RTM or other town meetings when necessary and/or requested by the Co-Presidents.

  • Attend all general SHS PTA Coffees with Principal (daytime and evening)

  • All Executive Board members assist Co-Presidents by attending monthly Executive Board meetings to discuss issues and offer support and work cohesively for the SHS PTA.

  • May be asked to serve on Nominating Committee

  • Executive Board members may be called upon to help in other ways when required.
     

CO-PRESIDENTS

  • Monthly collection of articles to be submitted for the SHS newsletter, For The Wreckord (FTW).  Send e-mail reminder of newsletter deadline to SHS department chairs, PTA board, PTA Council and community organizations.
  • Collect articles and read for content, clarity and appropriateness; forward edited articles to Newsletter Layout/Design chairman.
  • Edit completed monthly issue along with PTA Co-Presidents.
  • Monthly email of newsletter to parents, SHS Principal and staff via principal’s secretary, Board of Education, Superintendent, PTA Council, other Westport PTA presidents, other Westport school newsletter editors, Department of Human Resources, community organizations, etc.
  • Forward all bounced email addresses to SHS technology administrator for correction by the school.
  • Forward important forms and notices to SHS PTA and SHS school webmasters for posting online.
  • Assist Summer Mailing chairs and Co-Presidents with packet assembly. (July or August)
  • Assist Newsletter Distribution chair and Co-Presidents in assessing individuals who will receive a mailed copy of the newsletter, as well as places in school and around town (DHS, Homes with Hope’s Bacharach Housing) where the newsletter will be distributed.

 

3rd VP - Volunteers

Responsible for overseeing the following Chairs and their committees:

  • Host Committee Chair Meeting in early September (day and night) to review SHS PTA Event Committee Guidelines and answer questions.

1 VP- Volunteers (Survey):

  • Update the volunteer questionnaire annually (K12 Insight/Zarca) based on input from the Co-Presidents and VPs and provide both an online version as well as a hard copy for the Summer Mailing
  • Coordinate volunteer lists for each Chair/event and send via e-mail. Use of Excel is very helpful.

1 VP- Volunteers (Reports):

  • Distribute via email to each event Co-Chair in late August: Event Report and related Event files and the SHS PTA Event Committee Guidelines.
  • Collect and maintain all committee reports and keep database for historical perspective.

 

4th VP – Graduation

6th VP MEMBER AT LARGE

This position was created for the 2006-07 school year, because with the increase use of technology, it was unclear as to whether the 2nd VP Communications job was getting too large for one person to handle.

This VP supports:

  • The 2nd VP Communications and the SHS PTA Co-Presidents as of 08/09.

  • This VP was not needed in 09/10 and the position was not slated. 

 

Recording Secretary

This VP is responsible for:
  • Recording, maintaining and e-mailing minutes to the Executive Board and keeping binder updated in Principals office.
  • Taking attendance at the SHS PTA Coffees with principal if any SHS PTA business is being conducted (including voting).
  • Maintaining a current copy of the by-laws and a membership list.
  • Retaining a copy of the computer disc-both alterable (for future revisions) and inalterable (for dissemination via the Internet)-containing the SHS PTA by-laws.

 

TREASURER

Senior position, responsible for training the Assistant Treasurer in all responsibilities.

Annually
  • Establish Budget

    – Based on previous year spending, previous budgets, and/or specific input
    – Meet with Co-Presidents and Past Presidents to solicit input
    – Review proposed budget for vote at first SHS PTA Executive Board meeting of the year (September)
    – Present proposed budget for vote by membership at first SHS PTA Coffee with Principal (September)
     

  • Set up expense reimbursement form and check request form and have posted to the SHS PTA website for Chairs to access. Put blank copies in SHS PTA mailbox in SHS mailroom.
  • Set up new check signatures at bank – Treasurer and one Co-President
  • Coordinate information for income tax preparation with accountant
  • Attendance at Westport PTA Council Treasurer’s Workshop (June)

Monthly

  • Prepare Income and Expense Summary vs. Budget
  • Prepare QuickBooks Itemized Categories report
  • Attend SHS PTA Executive Board meetings and present reports
  • Reconcile bank statements

  • Coordinate deposits with Assistant Treasurer
